Vendor Management enters vendor name, contract type, estimated value, and term dates. A draft record is created.
Upload the contract document as PDF or DOCX. The system stores it in Azure Blob Storage and extracts the text for analysis.
Azure OpenAI analyzes the contract from four department perspectives simultaneously: IT, InfoSec, Legal, and Compliance.
Each department gets a summary and a list of observations ranked by severity β Critical, High, Medium, Low. The contract moves to Pending Review.
Each department reviewer sees contracts pending their review, sorted by SLA deadline. Time-remaining indicators show urgency.
Reviewers respond to each AI observation (Agree, Disagree, N/A) and can add their own manual comments with severity and recommendations.
Choose Approve, Approve with Conditions, Request Changes, or Reject. Certify and submit. The review is final.
The moment the last department submits their review, the system automatically generates a consolidated report. No manual step required.
The system determines an overall disposition based on department decisions: Ready to Execute, Conditional Approval, Changes Required, or Cannot Proceed.
All comments from all departments are combined, sorted by severity, with required changes and conditions listed for Vendor Management review.
Vendor Management reviews the disposition, department summaries, required changes, and combined comments.
If the disposition is favorable, approve the contract. It moves to Approved status, ready for execution.
Once the contract is signed and in effect, mark it as Executed. This is a terminal state β the contract lifecycle is complete.
